How to successfully introduce Sirona.tv into your community

Planning, staff training, scheduling, resident and family engagement are  4 key pillars for a successful introduction of sirona.tv into a senior living community. Lapse in one step can jeopardise the most optimal results which Sirona.tv can bring into the community.

STEP I:  Planning for the Sirona.tv project includes

1A: Identification of innovators.
Each community has residents who would anxiously give the new technology a chance also called innovators and there will be residents who would be the last ones when everybody starts to talk about it also called laggards. In a pilot project find and select the innovator residents first. In a full deployment, start with the innovators. Also identify resident types – independent, assisted, memory care, skilled nursing who would be part of the initial rollout.

1B: Identify Features, Apps, Layout, and Look and Feel.
Sirona.tv has many features – may be too many – it will overwhelm the residents and the staff equally. Start with small and minimal subset and slowly add as residents are staff get used to Sirona.tv – Get Sirona.tv into the muscle memory!. Use this sheet to identify the phase I features – this is an art – cannot be too small that Sirona.tv is not interesting, cannot be too large that it becomes overwhelming.

1C: Identify Staff
It is important to select the staff whose skills, responsibility, and time matches the requirements expected from a successful deployment. Right staff with the right skills and availability of time to manage Sirona.tv is critical. It is customary to over-commit on time and skills.

Stakeholder Skills/Responsibilities Training Time and work load
Project Manager – The project lead
Ability to foresee issues, ability to coordinate with family and residents.

Understands the Sirona.tv system from a business perspective, features and how to make it successful. A PM is key to the success of the project.

Need to be involved on a daily basis.

Operational Admin

A key person should be computer savvy, comfortable with setting up devices, the internet.
OA will know all about Sirona.tv and will be the local support for Sirona.tv.

OA understands the Sirona.tv system from a technical perspective,

OA will receive a complete training of Sirona.tv device and the UMI.

OA is the backbone of the infrastructure support and hence is key to successful deployment.

Need to be involved on a daily basis and support other staff members when required.

OA will be mostly the only contact with Sirona.tv. Everybody will reach out to OA for assistance.

Community Manager

Community manager most uses Sirona.tv to reach the resident population

CM is well versed with adding activities, announcements, community pictures.

CM can also upload dinning information.

Kitchen

Kitchen staff can upload dinning information on Sirona.tv

This work can be performed by CM.

Installer

The installer plays a key roll in making Sirona.tv work in each room

Must be comfortable in installing the Sirona.tv in each room. Each install can take anywhere from 20 to 30 minutes in each room.  This is in addition to the pre-installation setup.

Nursing Staff

Nursing staff responds to resident requests. They carry smart phone on which the resident request are received.

1D: Identify Start Date
Give at least 5-6 weeks from after the planning to start the deployment. Key things to be achieved during this time includes:

  1. Staff Training – 2-3 weeks
  2. Server Setup – 2-3 weeks
  3. Resident and Family Engagement – 4-5 weeks
Some of these can be performed in parallel.

STEP II: Training and Setup

IIA: Server Setup
This is a step performed by Sirona.tv and is based on output of step 1 – staff and resident identification. Once the staff is identified we start to train the OA and help OA to add other staff members.

IIB: Staff Training
Each staff member will need substantial time to learn and use the system. The staff should have access to working Sirona.tv device and Internet to be able to train and practice on Sirona.tv. 

Requirements for training Sirona.tv kitTV with HDMI, good Internet preferably Ethernet Or WIFI, Laptops must be available to be able to train and deploy Sirona. An office spot where these activities can be performed. And a carved out time where staff can spend on learning and using Sirona.tv

STEP III: Resident and Family Engagement
This key step is led by the Project Manager who uses the guidelines outlined in “How to engage your residents and their families to use Sirona.tv”.

STEP IV: Installation, Deployment, Resident Training
To make installation as easy as possible follow guidelines in “How to engage your residents and their families to use Sirona.tv”. and steps for a successful installationIf steps I to steps III are done well, step IV would be a relatively easy step.

STEP V: Post Install Engagement
This is a key step where we monitor, engage and make Sirona.tv and services delivered by Sirona.tv interesting to the residents.
